Cancellation, Late Payment & Termination Policy

This Cancellation, Late Payment & Termination Policy applies to all subscriptions, digital marketing services, websites, software, CRM access, automations, hosting, advertising management, SEO services, consulting, and related services provided by Intel Capitol ("Intel Capitol," "we," "us," or "our").

By purchasing, accessing, or continuing to use our services, the client ("Client," "you," or "your") agrees to this policy.

1.Monthly Billing and Payment Authorization

Unless otherwise stated in a separate written agreement, Intel Capitol services are provided on a month-to-month basis.

Subscription fees are billed in advance and automatically charged to the payment method provided by the Client on the applicable recurring billing date.

The Client is responsible for:

  • Maintaining a valid payment method.
  • Keeping billing information current.
  • Ensuring sufficient funds are available.
  • Paying all agreed subscription fees, setup fees, advertising costs, third-party expenses, and other authorized charges.

Advertising spend, domain registration fees, premium software costs, phone services, email services, and other third-party charges may be billed separately unless expressly included in the Client's plan.

2.Client-Initiated Cancellation

Clients may cancel their recurring Intel Capitol services at any time unless a separate signed agreement establishes a minimum service term.

Cancellation requests must be submitted by emailing info@intelcapitol.com.

The request should include:

  • The Client's name.
  • The business name associated with the account.
  • The services being canceled.
  • The requested cancellation date.

Cancellation requests must be received before the next scheduled billing date to prevent the next recurring charge. Requests received after a recurring charge has been processed will apply to the following billing cycle.

Unless otherwise agreed in writing, cancellation becomes effective at the end of the Client's current paid billing period. Services may remain available through that date.

3.Refunds and Prorated Credits

Payments already processed are non-refundable and will not be prorated, except where otherwise required by applicable law or expressly agreed to in writing.

This includes payments for:

  • Monthly subscription services.
  • Setup and onboarding work.
  • Website design or development.
  • CRM and automation configuration.
  • Search engine optimization.
  • Advertising management.
  • Completed consulting or strategy work.
  • Domains, software, phone numbers, hosting, integrations, and other third-party services.
  • Advertising spend paid directly to advertising platforms.

Canceling a service does not remove responsibility for charges incurred before the effective cancellation date.

4.Failed and Late Payments

A payment becomes past due when a scheduled charge is declined, reversed, disputed, or otherwise not received by the applicable billing date.

Intel Capitol may:

  • Retry the Client's payment method.
  • Send payment reminders by email, phone, or SMS.
  • Request an updated payment method.
  • Temporarily limit support or account access.
  • Suspend some or all active services.

Any late fee will only be charged when disclosed in the Client's service agreement, invoice, or order form and when permitted by applicable law.

5.Service Suspension

Accounts that remain unpaid for more than seven days may be suspended at Intel Capitol's discretion.

Suspended services may include:

  • Website hosting or website management.
  • CRM and mobile application access.
  • Automated email or SMS follow-up.
  • Missed-call text-back services.
  • Online forms, calendars, chat widgets, and booking systems.
  • Google review automation.
  • SEO and content services.
  • Advertising campaign management.
  • Business phone numbers, email services, domains, and integrations.
  • Technical support and account management.

Suspension does not automatically cancel the Client's subscription or eliminate the outstanding balance. The Client must submit a cancellation request in accordance with this policy if they no longer wish to continue the service.

Intel Capitol is not responsible for lost leads, missed communications, website downtime, interrupted advertising, lost rankings, revenue loss, or other damages resulting from a payment-related suspension.

6.Termination After 30 Days of Nonpayment

If an account remains unpaid for more than 30 days, Intel Capitol may terminate the Client's services and account without further notice.

Upon termination:

  • Websites, software, automations, integrations, and hosted services may be disabled.
  • CRM and mobile application access may be revoked.
  • Advertising and marketing activities may be stopped.
  • Phone numbers, email services, domains, and third-party services managed through Intel Capitol may be disconnected or allowed to expire.
  • Administrative access and account credentials may be revoked.
  • Unpaid work product, licenses, files, or deliverables may be withheld where permitted by the applicable service agreement and law.
  • Stored account data may be permanently deleted after 30 days.

Future subscription billing will stop when the termination is processed. However, termination does not cancel or forgive charges incurred before the termination date.

The Client remains responsible for all outstanding balances.

7.Termination for Cause

Intel Capitol may immediately suspend or terminate services when a Client:

  • Violates this policy, the Terms and Conditions, or a service agreement.
  • Uses the services for unlawful, deceptive, fraudulent, abusive, or harmful activities.
  • Attempts to compromise the security or operation of Intel Capitol's systems.
  • Engages in payment fraud or knowingly files an improper chargeback.
  • Infringes upon intellectual property or third-party rights.
  • Harasses or threatens Intel Capitol employees, contractors, partners, or vendors.
  • Creates a material legal, financial, security, or reputational risk.
  • Repeatedly fails to cooperate or provide information required to perform the services.

When reasonably possible, Intel Capitol may provide an opportunity to correct the violation before termination. Serious violations may result in immediate termination without a cure period.

8.Client Data and Account Materials

Clients are responsible for exporting or downloading any information they wish to retain before cancellation or termination becomes effective.

Intel Capitol does not guarantee that Client data, contacts, conversations, files, websites, reports, media, or account information will remain available after services have ended.

The release or transfer of websites, domains, files, accounts, credentials, or other assets may be conditioned upon:

  • Payment of all outstanding balances.
  • Completion of required transfer procedures.
  • Compliance with applicable ownership and licensing terms.
  • Payment of any previously disclosed transfer or migration charges.

Third-party platforms may have separate rules governing data retention, transfers, cancellations, and account ownership.

9.Reactivation of Services

A terminated or suspended account may be eligible for reactivation after all outstanding balances have been paid.

Reactivation is not guaranteed. Intel Capitol may require:

  • Payment of the full outstanding balance.
  • An updated payment method.
  • A new service agreement.
  • Payment of a disclosed reactivation or setup fee.
  • Reconfiguration of websites, software, automations, advertising accounts, or integrations.

Intel Capitol does not guarantee that previously used phone numbers, domains, software settings, search rankings, advertising performance, data, or integrations can be restored.

10.Payment Disputes and Chargebacks

Clients should contact Intel Capitol before initiating a payment dispute or chargeback so that we have an opportunity to review and resolve the issue.

A fraudulent or knowingly improper chargeback may result in immediate suspension or termination. Where permitted by law, the Client may remain responsible for the disputed balance, payment processing fees, chargeback fees, and reasonable collection expenses.

11.Relationship to Other Agreements

This policy is incorporated into Intel Capitol's Terms and Conditions and applies together with any proposal, order form, invoice, service agreement, or other written agreement between Intel Capitol and the Client.

When a separate signed agreement directly conflicts with this policy, the terms of the signed agreement will control.

12.Policy Changes

Intel Capitol may update this policy to reflect changes to its services, payment practices, or legal obligations.

The updated policy will be posted on this page with a revised "Last Updated" date. Material changes may also be communicated through email, account notifications, or other reasonable methods.
